The pattern is familiar
Almost every field operation we've looked at starts the same way: a supervisor's WhatsApp group full of photos, voice notes and "done boss" messages. It works, until someone needs to know exactly how much was completed last Tuesday, or a client asks for proof a specific unit was tested.
What actually breaks
Chat apps have no structure. A photo has no linked location, no verified timestamp against the job, and no way to prevent the same unit being reported twice by two different people. Consolidating a week of WhatsApp messages into a progress report is manual, slow, and error-prone — usually done the night before a client meeting.
The fix isn't more discipline, it's structure
Asking teams to "be more organised" rarely works under field conditions. What works is a mobile tool that captures the same photo evidence people already take, but attaches it to a specific scope item, with an offline-safe timestamp and duplicate protection built in. The habit barely changes — the record becomes usable.
Where to start
Pick the one workflow causing the most pain — usually installation or inspection sign-off — and digitise just that. Prove it works for one team before expanding. The goal isn't a big-bang rollout; it's a field record you can trust the first week you use it.
